One responded within two hours of the initial enquiry. The other responded the next morning.
The prospect chose the first firm. Not because the proposal was better. Because the speed of response communicated something the proposal could not: this firm is organised, attentive, and ready.
Responsiveness has become a trust signal
In professional services, responsiveness has become a trust signal.
Not because speed is inherently valuable. But because most firms are slow. Enquiries sit for a day or two. Follow-ups take a week. The prospect sends a message and waits, wondering whether this is how the entire engagement will feel.
When a firm responds quickly, clearly, and with substance, it communicates three things without saying any of them:
1. The firm has systems. The response was fast because the firm is organised, not because someone happened to check their inbox.
2. The client matters. The enquiry was prioritised. Not buried under other work.
3. Working with this firm will feel different. If the first interaction is responsive and clear, the prospect assumes the engagement will be too.

The message does not need to be long. It needs to be specific. Acknowledge their situation. Confirm next steps. Give them a reason to believe this firm operates differently.
